How many support staff does it actually take to support one physician?
Historically, the answer has been: a lot. Older MGMA benchmarks placed family practices around 4–5 support staff per physician. Even more recent data shows physician-owned practices averaging about 3 support staff per physician.
That sounds like plenty until you look at what physicians are actually doing with their time.
According to the AMA, physicians work nearly 58 hours per week, but only about 27 of those hours are direct patient care. The rest? Indirect clinical work and administrative tasks, including roughly 7+ hours per week on pure administrative work alone.
In other words: even with multiple support staff per physician, doctors are still drowning in admin.
So what’s going on?
The Real Problem Isn't Headcount. It's Workflow Chaos.
Throwing more heads at a problem may "solve" it eventually, but the real issue is that the work is fragmented and chaotic. Think about a typical day in a busy specialty practice:
- Faxes come in nonstop: referrals, records, labs, payer requests.
- Someone manually sorts them.
- Someone else figures out which patient they belong to.
- A prior auth is submitted through a portal.
- A reminder is set on a sticky note or spreadsheet.
- No one notices it stalled for three days.
- The physician gets pulled in to “help move it along.” Multiply all that by the potentially hundreds of patients they see each week. More support staff only makes the chaos more expensive rather than addressing the root issues.
Where Calvient Comes In
1. Centralize the Chaos
Most practices are juggling fax servers, email inboxes, EHR queues, voicemails, spreadsheets, and portals.
Calvient pulls those inbound documents — faxes, emails, uploads — into one AI-powered workspace. The platform classifies, prioritizes, matches to the correct patient chart, and routes the task to the right team member automatically.
In real-world deployments, practices have reduced document processing time by 60–75% and cut backlog dramatically. We have even seen one partner use existing staff to increase total inbound document capacity by over 100%. This is the operational breathing room that so many practices desperately need.
2. Orchestrate Accountability
Admin work has to be done, but it also needs to be tracked. Prior auths stall. Referrals go missing. Records requests sit. Tasks fall through cracks when someone is out sick.
Calvient assigns clear ownership, SLAs, escalation paths, and real-time tracking so nothing disappears into a black hole. Practices using Calvient have full visibility over:
- What's aging?
- Where are the bottlenecks?
- Who is overloaded?
- When is every task expected to be done? Practices can't afford to let crucial tasks slip through the cracks. We aim to seal every possible crack in each organization we work with.
3. Automate the Repeatable Work
Not every task requires human judgment. Eligibility checks, status updates, reminder nudges predictable routing rules, etc. Calvient automates the repeatable “legs” of administrative work so staff can focus on the cases that actually require thinking.
This is where the staffing math changes. If your team becomes 2–3x more efficient (which we've seen before) at document handling and prior auth workflows, suddenly you don’t need five people to support one physician just to keep up. You can grow patient access without growing payroll.
4. Reduce Downstream Waste
Admin burden isn't just eternal. Missed appointments, unanswered reminders, and rescheduling calls all add to the workload.
Calvient's patient engagement tools automate multi-channel reminders and allow patients to confirm or reschedule without waiting on hold. In one customer example, no-show rates dropped by 50% alongside improved volume and smoother daily schedules. Less chaos on the schedule means less chaos everywhere else.
The Bigger Picture: Reclaiming Clinical Capacity
Here’s the uncomfortable truth: Healthcare has been trying to solve a workflow problem with hiring, but that is a battle that can only ever be temporarily won.
You can keep cleaning up the effects of a leak with paper towels, but that's a temporary and reactionary solution. The process is tedious, and eventually, the amount of paper towels needed becomes untenable. The obvious solution is to stop the leak.
We at Calvient are confident that we can fix any administrative leak a practice might have. We can implement our platform with the relative ease of slapping some Flex Tape on a leak while offering a solution as effective as installing a new pipe altogether.
We want to be clear; Calvient's platform is not intended to steal the jobs of valued support staff. We instead want to unlock the full potential of each of our partners by automating the manual and accelerating the meaningful, thus allowing the ability to scale care without scaling headcount.
If your support staff could use some support of their own, we would be happy to help. Book a demo with us today.
